- The calendar is perhaps the most powerful tool when it comes to time management. The question is, are you committed to using it? Consider these principles to increase your calendar commitment. First, have it with you and ready to use at a moment's notice. This isn't a challenge if your calendar is on your smartphone. Just make sure you've got it synced up with your desktop and that you're in the habit of using it throughout the day. Second, use it for everything you intend to do. Well, pretty much everything. Anytime something needs to get done, put it in the calendar. This includes not just meetings with other people but meetings with ourselves as well. This includes scheduling vacations or downtime that lasts 20 minutes or more. Put it in the calendar. Get in the mindset that the calendar represents your reality.
