Create Field Reports

- [Instructor] In this chapter we're going to take a look at another feature in PlanGrid called Field Reports. So before we continue to the Field Reports menu tab, I want to go ahead and click up here on Finishes and Hardware, and jump to the main project. Our sample project that we called Managing Construction Activities. Now that we're back here in our main project, let's click on Field Reports and see what that looks like. When we click on Field Reports, we get a screen that opens up that really gives us our report templates. Not the individual reports that have been completed but the actual templates that we can use to create individual daily reports or safety inspections and so on. Now we have here four sample reports that were created when we set up this sample project here in PlanGrid. That's something that PlanGrid will always do when you create a new project is it will populate it with these four report templates. You can use them, you can click on each one of them and choose to archive them if you're not going to use them. Or if you decide you're going to use them, for example I think the Daily Safety Inspection is a pretty good form. I don't want the word sample in front of it 'cause I'm going to go ahead and use it on this project. So I'd select that and click on Edit. And now we can go ahead and customize this template and make it our own. So we're going to delete the word sample. We're going to call this our Daily Safety Inspection. We'll look at replacing the PDF or making custom forms a little bit later on in this chapter. So for now let's stick with the sample that it gave us. Here you can add some Report Components to every report that is filled out here in PlanGrid. You can choose to add a Notes section that just adds a field at the bottom of every report that's in addition to this form they fill out. It gives them just kind of a place to freehand some notes. And we can also choose to add the Weather based on your project address. So since we put in the project address when we set this job up, it will just automatically import that day's weather, and tag it on to our report as we continue. This is where you can assign the people that you want to fill this report out. So you can assign them by individual such as myself, or you can assign them by group. You can say I want this report to be available to all collaborators, power collaborators, and administrators. So that everybody that's in those groups can access this form and fill one out. You do the same thing with Reviewers. You can decide who you want to be able to review or actually be able to see these reports. So if they're not added here as a reviewer, they're not going to be able to see the reports that people have filled out and added. And then you've also got Managers, and managers are the ones that can edit the report settings which is what we're doing here. So we're going to say all administrators can manage or edit report settings. And then finally, you have this option of sending out a Daily email reminder. Now where you would use this would be something like a daily field report. So if I expect my Superintendent for example to fill out a report every day of the progress on the job site, and I assigned my Superintendent as the only assignee for this particular type of report. I could click here to choose to have the system automatically send them an email if they forget to upload their daily report. Now if it's a report like this, a safety inspection that I might expect many people to use or a Job Hazard Analysis that I want any collaborator on my job to be able to use, I probably don't want to check this box, and have them getting a Daily email reminder to submit a report that they don't necessarily even need to submit because it's not applicable to that day's work. So once you've edited that template, you can click on Save. And you'll see here that now the sample report has been changed to our Daily Safety Inspection. Now again this is how you create new Report Templates. We want to continue on in this chapter and review how we actually fill these reports out, and how we actually create new templates. These reports and forms, they're just a part of life in construction. It's another way we capture and record data. Using the Field Reports feature here in PlanGrid allows us to collect and store that data in one place, side by side with all the rest of the project documentation, so that everything you need is always at your fingertips.
