Save documents in alternative file formats
- [Instructor] There may be times when you want to share documents with other users who are using an earlier version of Word, or maybe they don't have Microsoft Office on their computer. After watching this video, you'll know how to save a word document as a PDF or XPS, in Word 97 to 2003, as a template, or as a text file. Let's jump right into our alternative formats document and start by creating a PDF file from our Word document. I'll go to file, and export. The default option is create PDF or XPS document. Now a PDF file is meant to be read-only and while it can be edited, it's very difficult to edit a PDF file. The file size is always smaller, so it's easier to transmit via email, and PDF documents have a .pdf extension. The XPS files are XML documents, extensible markup language, that are used to transport and store data. XPS files preserve document formatting, just like the PDF files do, makes it easy to share the file. Again, the file size is smaller, no editing is allowed…
